BYLAWS

ARTICLE I - NAME

The name of the organization shall be Olympic Peaks Camera Club.

ARTICLE II - PURPOSE

The purpose of this club shall be to share and promote photography on and around the North Olympic Peninsula.

ARTICLE III - MEMBERSHIP AND DUES

1. Membership shall be open to all persons interested in the purposes of the club. Membership is effective upon tender of dues to the Treasurer.

2. Annual dues are for a calendar year at $20 per person or $25 per family payable on or before the start of the calendar year.

3. New members shall pay dues on a pro rata basis for the balance of the calendar year in which they join the club. Dues shall be waived for new members joining after September 30.

4. Members whose dues are in arrears for more than three months shall be dropped from the roster.

5. Guests can participate in all club activities except competitions, voting and business matters.

6. Additional assessments or a change in dues may be made on the recommendation of the Executive Committee and approval by a two-thirds majority of the membership present for voting.

ARTICLE IV - OFFICERS AND TERMS

1.The following principal officers shall be elected: President, Vice-President, Secretary and Treasurer.

2. Officers shall be elected for a term of one year and shall take office on January 1 of that year. Those officers listed in Article IV, Section 1 shall not serve more than two consecutive terms in the same office.

3. An Executive Committee shall consist of the four elected officers plus the immediate past president, competition chair, print chair, slide chair and digital projection chair.

ARTICLE V - MEETINGS

1. The club year begins January 1 each year and ends December 31 of that same year.

2. Regular monthly meetings shall be scheduled for the months of January through December.

3. The Executive Committee shall hold a minimum of two meetings (January and July) each club year. Special meetings shall be held as required. A majority of the members of the Executive Committee shall constitute a quorum for the transaction of routine business.

ARTICLE VI - ELECTION OF OFFICERS

At the October meeting the President shall appoint a nominating committee consisting of three club members to nominate a slate of officers for the Executive Committee for the forthcoming year. The nominating committee shall submit its report at the November meeting at which time additional nominations may be taken from the floor. The membership shall vote on the slate of officers presented at the December meeting. The new Executive Committee members assume the duties of their offices at the first meeting in January.

ARTICLE VII - DUTIES OF OFFICERS AND CHAIRS

1. The President shall preside at all meetings of the Club and of the Executive Committee. The President shall appoint a Competition Chair, Print Chair, Slide Chair, Digital Projection Chair, Publicity Chair, Equipment Chair, Field Trip Chair, Membership Chair, Refreshment Chair, Editor and such other chairs, committees, or assistants as may be requested by the Executive Committee. The President shall be an ex officio member of all standing committees. If any office other than that of President becomes vacant, it shall be filled by appointment by the President for the remainder of the term. The Past President can serve on the Executive Committee in an advisory capacity for the year following his or her term as President.

2. The Vice President shall perform the duties of President in the absence of the President or during a vacancy in that office and shall perform such duties as the Executive Committee shall direct. The Vice President shall plan and oversee all club programs.

3. The Secretary shall record the minutes of all Executive Committee meetings and club meetings if a motion is made and voted upon. The Secretary shall collect a job description from each officer and chair at the end of each year and shall compile those descriptions as a supplement to the bylaws. The Secretary shall function as presiding officer during the absence of the President and Vice President and maintain the master copy of the bylaws.

4. The Treasurer shall receive and deposit the funds of the club, shall collect the dues, maintain a checking account and pay all normal operating expenses as approved by the Executive Committee. The Treasurer shall report the condition of the treasury at the May and December club meetings and at any time requested by the President. All extraordinary or special expenditures shall be approved by a two-thirds majority vote of the members present at a regular club meeting. The Treasurer shall prepare correspondence pertaining to the official duties of this office. The Treasurer shall prepare and distribute a mailing list of all club members. The Treasurer shall notify the Membership Chair of any new members. An independent auditor appointed by the President shall review the financial records of the club each December. The Treasurer shall function as presiding officer during the absence of the President, Vice President and Secretary.

5. The Slide Chair shall be appointed by the President and shall be responsible for all work pertaining to the showing and handling of slides. The Slide Chair shall be responsible for the traveling shows received from the Northwest Council of Camera Clubs (NWCCC) circuits and other slide sets or programs presented at or by the club. The Slide Chair shall be responsible for mailing or other services in relation to slides, as well as preparation of correspondence pertaining to NWCCC or PSA slide division or other such activities.

6. The Digital Projection Chair shall be appointed by the President and shall be responsible for all work pertaining to the showing and handling of digitally projected images. The Digital Projection Chair shall be responsible for the traveling shows received from the Northwest Council of Camera Clubs (NWCCC) circuits and other programs presented at or by the club. The Digital Projection Chair shall be responsible for mailing or other services in relation to digitally projected images, as well as preparation of correspondence pertaining to NWCCC or PSA digital division or other such activities.

7. The Print Chair shall be appointed by the President and shall be responsible for all work pertaining to the showing and handling of prints. The Print Chair shall be responsible for the traveling shows received from the Northwest Council of Camera Clubs (NWCCC) circuits and other print sets, displays or programs presented at or by the club. The Print Chair shall be responsible for mailing or other services in relation to prints, as well as preparation of correspondence pertaining to NWCCC or PSA print division or other such activities.

8. The Competition Chair shall be appointed by the President and shall be responsible for selecting the competition judges and commentators, overseeing the activities of the Print and Slide Chairs, compiling scores and preparing year-end awards.

9. The Membership Chair shall be appointed by the President and shall obtain a list of new members from the Treasurer and shall prepare or cause to be prepared name badges for all members in good standing. The membership Chair shall be the official club greeter and shall record and introduce all guests.

10. The Equipment Chair shall be appointed by the President and shall be responsible for controlling, setting up, taking down and maintaining all club-owned equipment.

11. The Field Trip Chair shall be appointed by the President and shall be responsible for planning, leading or cause to be led, all field trips. The Field Trip Chair shall coordinate all activities with the Vice President (i.e., Program Chair).

12. The Refreshment Chair shall be appointed by the President and be responsible for seeing that refreshments are supplied and set up at all club meetings or at those designated by the Executive Committee.

13. The Publicity Chair shall be appointed by the President and shall be responsible for all media announcements pertaining to club activities as well as establishing and maintaining the club web site.

14. The Editor shall be appointed by the President and shall be responsible for preparing the club newsletter and publishing or causing to be published said newsletter. The newsletter shall be published bi-monthly or as designated by the Executive Committee.

ARTICLE VIII - EXHIBITION AND COMPETITIONS

1. At the beginning of the calendar year the Executive Committee shall determine the number of entries per member per competition.

2. All entries for slide competition must be neatly mounted in 2×2 inch cardboard, plastic or glass mounts. Glass bound over cardboard mounts shall not be acceptable. Each slide shall carry the maker’s name and the image title and shall be spotted in the lower left corner as normally viewed and in accordance with standard exhibition practices. Slides may be submitted only once for points in club competitions.

3. All digital images can be captured either using a digital camera or scanned from slides or negatives and must be new images, not previously entered in any format in any prior OPCC competition. All images and components thereof must be of the member’s own making. Details governing the preparation and submittal of digital images can be found under “Competition Guidelines.”

4. All entries for print competition must be neatly mounted on mounting board up to 16×20 inches in size. The maximum image size shall be 16×20 inches (320 square inches) or equivalent. The minimum image size shall be 8×8 inches (64 square inches) or equivalent area. The maker’s name and image title shall appear on the back of each mount.

5. Images can be submitted only once for points in club competition.

6. Commercial processing of slide or negative film and prints is acceptable.

7. The original image or combinations thereof must be made by the entrant on photographic emulsion or acquired with a digital camera. All images must be original and shall not incorporate elements produced by anyone else.

ARTICLE IX – AMMENDMENTS

Amendments to this document can be made at any time by a two-thirds affirmative vote of the members present, provided that the amendment has been presented in writing or discussed at the previous meeting.
